Administrative Assistant – 30th Judicial District

The Administrative Office of the Courts is seeking a qualified person for the position of Administrative Assistant in the 30th Judicial District.  This position provides administrative support to several State Judges in the 30th Judicial District.

Responsibilities include:

  • Prepares and processes various legal documents and answers correspondence requiring the application of complex clerical procedures and a comprehensive knowledge of court rules and terminology.
  • Performs a variety of confidential, technical, and general clerical tasks, and administrative work for a judge.
  • Receives and screens visitors and routes incoming telephone calls and callers; places outgoing calls; sets up conference calls; schedules matters for hearing and may maintain a judge’s personal calendar; schedules office conferences and appointments; sets up conference calendars; schedules conferences; maintains records of pending and disposed cases; prepares case reference files; and requests special or senior judge assistance.
  • Opens, reads, and distributes mail; prepares and transmits expense vouchers; makes travel arrangements; orders supplies.
  • Performs related work as required.

Skills and Ability:  The successful applicant must be able to effectively communicate both orally and in writing, have professional interpersonal skills (working with the public and attorneys), must have the ability to handle difficult personalities tactfully,be highly organized, have excellent computer skills, prioritize work according to deadlines,and maintain confidential information.

Education and Experience: Certified Administrative Professional Certification, Professional Legal Secretary Certification, Associates degree for Paralegal’s or Bachelor’s degree preferred.  Education equivalent to graduation from a standard high school and experience equivalent to five years of increasingly responsible full-time administrative work.

This position requires a criminal background check. Therefore, you will be required to provide information about your criminal history in order to be considered for this position.
