Under the supervision of the Director of Consumer Assistance, is responsible for secretarial support and administrative assistance work of average difficulty.
EXAMPLES OF DUTIES AND RESPONSIBILITIES:
- legal consumer phone calls or e-mails to CAP
- Log incoming and outgoing contacts with CAP
- Summarize incoming written correspondence, log and recommend and prepare outgoing correspondence or form letters
- Process CAP information and packet requests
- Keep CAP brochures and information printed and stocked
- Open CAP files
- Scan incoming and outgoing correspondence to CAP
- Initial handling of “walk-in” complainants as needed or directed
- File and/or dispose of paper files using CAP record retention procedures
- Prepare seminar materials or reports or do basic information research as requested for Director. ?ul>
MINIMUM EDUCATION/EXPERIENCE: Graduation from an accredited high school and experience equivalent to two (2) years of increasingly responsible full-time secretarial or administrative work as a legal secretary or educational equivalent such as Paralegal Certification, Associate’s degree in Paralegal or Legal Assistant Studies, or current Certified Professional Secretary designation.
SKILLS AND ABILITY: Proficiency in Microsoft Office Suite; accurate and efficient data entry skills; ability to multi-task and prioritize work according to general deadlines; knowledge of standard office equipment; professional interpersonal skills (working with the public and legal professionals); excellent telephone skills; good written and oral communication skills; ability to read and summarize complaints; ability to handle difficult personalities tactfully and efficiently and work in a fast-paced, high-volume environment.
