The Office of the Appointed Counsel Commission (ACC) is seeking a qualified professional for the position of Administrative Assistant to Divisional Counsel in the Middle Division in the Nashville area.
Under the general supervision of the Divisional Counsel, the Administrative Assistant will provide professional, confidential, and highly organized administrative support to Divisional Counsel and other employees within the division of the ACC. This position will assist Divisional Counsel in the coordination of legal and administrative processes related to the delivery of indigent defense services in Tennessee. When the ACC is fully established, the Administrative Assistant will support Divisional Counsel in managing documentation, scheduling, general case-management, and facilitating communication with outside attorneys, clients, and executive support staff of the ACC and other relevant state agencies. The duties of the Administrative Assistant may include limited legal research and writing.
Once the ACC is established, the Administrative Assistant to Divisional Counsel will support counsel in the legal and administrative operations of the division, including but not limited to: preparing and maintaining detailed records, reports, correspondence, and legal documentation; managing calendars and scheduling; assisting with project coordination and workflow management; and managing confidential communications, including attorney-client privileged materials and internal communications involving Divisional Counsel, Deputy Divisional Counsel, Executive Director, Commission members, attorneys, court personnel, the Supreme Court, and other stakeholders. An ability to maintain confidentiality is a significant requirement.
The person in this position will serve as a liaison between the division and stakeholders, including court staff, other state agencies, contracted professionals, and members of the public; assist with implementing and supporting policies and procedures, ensuring consistency with ACC standards and providing input on improvements to administrative processes; support divisional operations related to communication workflows, contract documentation, and assigned special projects; review and edit documents for accuracy, completeness, and compliance with established standards, including legal submissions, payment requests, and contract materials; conduct basic administrative or program-related research and analysis, including gathering relevant information related to legislation, litigation, policy, organizational processes, and special assignments; and organize and maintain case files and records, ensuring proper retention, accessibility, and confidentiality.
Qualifications/Experience
· Bachelor’s degree preferred;
· Significant experience in legal administrative support, office administration, or a combination of education and specialized experience providing administrative assistance in a legal environment strongly desired;
· Strong written and verbal communication skills, excellent organizational abilities, attention to detail, and the capacity to manage multiple priorities;
· Ability to build effective working relationships and support collaborative team processes;
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher) and the ability to learn and work efficiently in ACAP, Edison, Case Cloud, and other technology platforms; and
· Strong professionalism, discretion, and adaptability.
