TN Board of Professional Responsibility Executive Assistant to the Chief

The Board of Professional Responsibility (BPR) is looking for a skilled and motivated Executive Assistant to the Chief.  Under the supervision of the Chief Disciplinary Counsel/Executive Director (“the Chief”), the Executive Assistant provides administrative support to the Chief in the office and remotely while assisting on various technology projects as required.

 

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

  • Assist the Chief by drafting correspondence to Board members, the Supreme Court, the Administrative Office of the Courts (AOC), sister agencies, legislators, respondents, complainants, claimants and members of the public. Outstanding written and oral communications skills are a requirement of this position.

  • Handle confidential communications to/from Board members, the Supreme Court and other parties. An ability to maintain confidentiality is a significant requirement.

  • Maintain calendar and make travel reservations for the Chief; create electronic calendar reminders for upcoming items needing attention.

  • Screen incoming telephone calls for the Chief; respond to or forward calls to appropriate party as necessary. Return calls and emails on the Chief’s behalf as required.

  • Create PowerPoint presentations for the Chief’s CLE presentations and workshops.

  • Create and run various queries from the LDMS (Microsoft Dynamics 365) database for use with existing reports or creating new reports (e.g., Monthly Caseload Reports, Quarterly Reports pursuant to Tenn. Sup. Ct. R. 9 § 4.5(b); the Board’s and TLFCP’s Annual Reports, etc.).

  • Coordinate preparation and contents of the Board Member notebook for TLFCP bi-monthly Board meetings.

  • Prepare semi-annual “Board Notes” newsletter for distribution to 22,000 active and inactive Tennessee-licensed attorneys.

  • Research attorney disciplinary histories in the OnBase archival database to complete and submit Judicial Vacancy Background Checks for the AOC’s Judicial Selection Committee.

  • Generate and forward lists of attorneys from LDMS for Public Records Act “List Requests.”

  • Prepare and submit the Chief’s expense reports in Edison.

  • Upload to or delete information from the Board’s website as required, including temporary site notices (i.e., office closures, technology outages, etc.)

  • Complete and submit various surveys for the American Bar Association, etc.

  • Set up conference rooms for the Chief’s meetings (audio/video; refreshments; hand-outs, etc.)

  • Monitor and maintain the Board’s proactive management-based regulation software.

  • Plans and manages the logistics of the Board’s Ethics Workshop, including venue, approximately 1,000 attorneys, program, speakers, refreshments and registration.

 

MINIMUM EDUCATION/EXPERIENCE: Legal assistant experience preferred. College degree and five (5) years of increasing responsibility in office management.

 

SKILLS AND ABILITY:  Excellent written and oral communication skills; ability to work in a fast-paced environment, set priorities and deal with competing demands; ability to preserve confidences, think logically, use problem-solving skills, and maintain a calm and professional demeanor in all situations.
